INFORMATION FOR EXHIBITORS

Here are the details:

  • Booth space for Friday, July 18, 2008 is $26.25 ($25.00 + $1.25 GST) for the Friday night preview. In order to create an intimate event for visitors, exhibitors who participate in Friday night and Saturday will be given booth space in one of the buildings in the park. If you request a space in the park and are not participating in Friday night, the space may not be available. Exhibitors who participate in Friday and Saturday will not be moved.
  • Booth space for Saturday, July 19, 2008 is $52.50 ($50.00 + $2.50 GST). Space is limited, so booking early is a good idea.
  • Booth space is offered on a first-come, first-served basis. There are no guarantees you will get the specific location you want, so book early to avoid disappointment.
  • Booth sizes are 12'x6' for food and 10'x6' for wineries and others. The Buckhorn Community Centre provides one table and one tablecloth as needed, plus two chairs, two clear wineglasses and a ticket receptacle. Wineglasses must be returned at the end of the show or left in your booth.
  • Visitors purchase sampling tokens for products. Exhibitors retain 70% of the sampling token income generated at their booth. The Buckhorn Community Centre gets the other 30%.
  • Sampling tokens are collected throughout the day at the booth and taken at regular intervals by Fiesta Buckhorn volunteers for counting. Exhibitors will receive their payout via cheque sent out within two weeks of the event’s closing.
  • Booths must be set up by 4:00 pm on Friday, July 18 and 11:30 am on Saturday, July 19. Exhibitors arriving after that time will not be allowed to bring their vehicles onto the grounds.
  • If you are unable to attend the event in person but would like to exhibit, please contact Deb Crossen at (705) 657-7717 to discuss arrangements for volunteer wine pourers. Product must be shipped to the Buckhorn Community Centre by the exhibitor and received no later than Friday, July 18 at 12 noon.
  • The Buckhorn Community Centre will provide each exhibitor with a maximum of two (2) bags of ice on Friday night and six (6) bags of ice on Saturday. Additional bags of ice, to a maximum of 10, are available for $2 each. In 2008, this rule will be strictly enforced. Each Exhibitor is responsible for bringing their own cooler or refrigeration.
  • Power is available at all booths. The Exhibitor is responsible for providing extension cords or other electric devices required.
  • Exhibitors must provide enough product (wine or food) for the entire length of the show. Exhibitors will not be allowed to leave before the show ends on Friday, July 18 at 9 p.m. and Saturday, July 19 at 7:30 p.m. A $50 fine will be deducted from payout for those exhibitors who close their booth prior to the end of the show on Friday at 9 p.m. and Saturday at 7:30 p.m.
  • Exhibitors are encouraged to bring either a booth display or materials to decorate their booth such as hangable signage, posters, etc. Plywood walls are provided and exhibitors may attach decorates to the walls. However, Exhibitors are responsible for removing any screws, nails or staples from the walls when they leave. A fee will be charged if walls are damaged by the Exhibitor during the event.
